Scan Whiteboard Notes to PDF
Whiteboards die at the end of every meeting — someone erases them, and the decisions, diagrams, and deadlines go with them. You can scan whiteboard notes to PDF free in your browser by photographing the board straight-on, correcting the perspective, and exporting one shareable PDF.

Nothing uploads anywhere; the photo never leaves your device.
Beat glare, angle, and shadows
- Shoot straight-on, not at an angle. Stand centred in front of the board with the camera square to the surface. Edge-correction fixes perspective, but a straight-on capture starts you with maximum text sharpness.
- Kill the glare. Glossy whiteboards reflect overhead lights as bright hotspots. Step sideways until the hotspot moves off the writing, or briefly switch the nearest light off. Matte areas photograph far better than glossy ones.
- Don't stand in your own light. If your body casts a shadow across the board, move to the side so the shadow falls off the edge of the writing area.
- Fill the frame. Crop tightly to the writing with a small margin of white space — more pixels on the ink means more legible text. Move your feet closer rather than pinching digital zoom.
- Check marker colour contrast. Light blue and yellow markers can wash out. If faint strokes survive capture poorly, thicken the contrast afterwards with a clean black-and-white scan mode.
Step-by-step: capture the board
- Open Scanner.cam in your phone's browser and tap Scan Camera.
- Frame the whole board (or one section at a time — see multi-panel below) and take the photo.
- Correct the corners: drag the four corner markers to the board's edges to straighten the rectangle and remove keystoning.
- Pick the Clean B/W mode for marker text — it flattens background noise and keeps strokes crisp. Use Colour if the diagram colours carry meaning (red vs blue flows, sticky notes).
- Add any further panels as additional pages, then tap Export to download a single PDF.
Multi-panel boards: capture in sections
- Split wide boards into 2–4 overlapping panels. One photo of a 3-metre board leaves small writing unreadable; each panel captured separately keeps every line crisp.
- Overlap each panel by about a third. The overlap gives you reference points when reading the PDF later and guards against missed rows.
- Work left to right, top to bottom so the page order in the PDF matches the board's reading order — no re-sorting later.
- Don't forget sticky notes and flip charts. Capture any pinned add-ons as extra pages before they're peeled off.
Make the notes legible and useful later
- Boost contrast, not brightness. Clean B/W mode darkens marker strokes against the board background. If the raw photo looks washed out, this mode is usually the fix.
- Read the PDF at 100% before leaving the room. Zoom into the smallest handwriting and check it decodes. If it doesn't, re-shoot that panel while the board is still intact.
- Transcribe the decisions, not everything. A scanned PDF preserves the full board; pair it with a typed list of action items, owners, and deadlines so the outcome is searchable, not just the ink.
- Name the file like a record: "2026-10-16-product-sync-whiteboard.pdf" beats "scan-003.pdf" six months later.
- Capture both the diagram and the labels. Arrows and boxes mean nothing without their annotations — double-check every label before the board gets wiped.
Share the PDF with your team
- Send one PDF, not nine photos. A consolidated PDF is easy to attach to meeting notes, drop in Slack, or file with the project docs.
- Keep the file small with Clean B/W mode so it travels well over email and chat — multi-panel colour scans bloat quickly.
- Link it from the meeting notes so remote colleagues get the context (decisions, diagrams) alongside the typed summary.
FAQ
How do I avoid glare when photographing a whiteboard?
Stand to the side so overhead lights don't reflect into the lens, or switch off the nearest light temporarily. Matte board surfaces glare far less than glossy ones, and a straight-on camera angle keeps reflections minimal.
Can I scan a whiteboard that's wider than my camera frame?
Yes — capture the board in overlapping sections (each about two-thirds new content, one-third overlap) and export them as pages of a single PDF. Work left to right, top to bottom so the page order matches the board.
Will faint marker colours show up in the scan?
Clean B/W mode helps by pushing strokes dark against a light background, but very faint yellow or light-blue marker may still be hard to read. When legibility matters, re-shoot the panel closer or transcribe the critical lines into the typed notes alongside the PDF.
Is the photo uploaded anywhere?
No — Scanner.cam processes everything in your browser. The photo never leaves your device, which makes it safe for confidential strategy boards, sprint plans, and client work.
